Maximizing Procurement Success through Effective Pre-Planning
This episode of the RFP Secrets podcast explores the critical role of pre-planning in the procurement process to ensure successful project outcomes and client satisfaction. It highlights the common pitfalls faced by many due to insufficient pre-planning, such as misaligned expectations, vendor issues, and subpar project results.
The discussion emphasizes the traditional RFP process's shortcomings, including reliance on sales and marketing promises and the disconnect experienced when the execution team takes over post-contract. To remedy these issues, we advocate for involving key execution team members from vendors in the pre-planning and negotiation phases to ensure expertise, alignment, and understanding of the project requirements are established early on.
Implementing this strategy is presented as a way to mitigate risks, improve project outcomes, cost optimization, and enhance client satisfaction.

Redefining Procurement Practices: An Insightful discussion with Chris Sawchuk
In this episode of the RFP secrets podcast, host John Matta discusses the pressing issue of separating 'procurement success' from 'business success' with Chris Sawchuk, a procurement expert with 24 years of experience. They speak about the crucial role that procurement plays in vendor selection and accountability, and how it greatly influences the outcome, so much so, that it's time to look at procurement through a holistic perspective rather than just procedural compliance. They delve into key topics such as the importance of focusing on individual team expertise during selection rather than companies at large, and the questioning the reliability of contracts in ensuring performance. They also highlight the need to bridge the gap between procurement teams and end users as their contributions should be celebrated when things go well, and they should be held accountable when there are discrepancies.

The price based award or what's known as the low bid procurements has been used by many organisations for decades. While it can work on some procurements, it would bring significant risks if used on other complex and risky projects. In this episode, we discuss the scenarios where the low bid could work and can help clients to quickly finalise their purchases; also we talked about why it's too risky to use the same approach to have costing as the primary focus when awarding tenders for complex and risky projects.
What's even more dangerous is that many clients believes they are not doing price based award becasue they have other evaluation criteria elements besides cost, but in fact when you look at the evaluation details, the price based award is happening without these clients even noticing..why? becasue vendors typically submit very large proposals that are full of marketing and sales materials (which at the end looks the same between vendors) and evaluators get confused and as a result, they tend not to read every page of every proposal so the scores they give is not a full reflection of the proposals..so in that environment the only decisive factor that differeniate proposals is what...it's cost.
We discuss this in details so have a listen and reach out if you have any comments or questions.
